Cold outreach email templates focus on benefits. You want to list what you can do for them upfront.
When you send an email to a cold prospect, realize that they do not know who you are. To them, you are a stranger invading their inbox. As a result, you want to keep the email short and sweet. Nothing makes a person exit an email faster than having to read long paragraphs of text.
When they are done reading, your prospect should have a reason to reply. In this example, the reason is that you can help them increase their revenue by 300%; it is clear, right away, that there is something in it for them.
If this prospect is struggling to increase their sales, they will immediately think:
“Hmm, this person is a sales professional. They helped other companies improve their revenue by 300%; perhaps they can do the same for me.”

Warm outreach emails are similar to cold ones in that they are benefit-driven and get straight to the point. However, the difference is the tone that is used.
Warm outreach email templates are used for people you already know. For example, let’s say you made a new friend at a networking event. If you want to get in touch with them again, a warm outreach email is very effective.
Write as if you were writing to an old friend. This way, they will feel welcome and appreciated, which increases the chances that they will reply.
Use Value-driven Email Templates To Get Readers To Click
An email without a purpose will also not get results. Value-driven emails are ones that offer value to your reader, without expecting anything in return.
With value-driven email templates, your goal should be to get the reader to take action; in most situations, this means getting them to click on a link. You want to include a link that will handle all the talking for you. To do this, you could link a YouTube video or a blog article.
You can think of value-driven emails like fishing. The goal of the email is to get your reader to bite your “hook”. To do this, offer them some bait in the form of value.

By watching the video, they will gain valuable knowledge and learn about your background. And if they find the video valuable, what are the chances that they will reach out to talk about a potential business opportunity?
This is the power of value-driven emails. Done properly, the value proposition should do all the talking for you.
Email Template #4: Statistics or Data
Did you know 60% of salespeople lack business acumen? Based on statistics, salespeople who possess business acumen close 80% more deals than those that don’t.

Email marketing is far from dead. In 2019, 293.6 billion emails were sent and received per day. Use statistics to give your statements more weight.
An email template that focuses on statistics uses research as bait. To use a statistics-driven email template, you want to provide the reader with information.
First, you want to give your reader an interesting piece of information. In this example, this is the statement: “Did you know 60% of salespeople lack business acumen?”
Second, you want your reader to know why they should care. You can accomplish this by stating a percentage driven discovery. For example: “Salespeople who possess business acumen close 80% more deals”
Third, link them to an article or study that provides them with more information. Remember that the purpose of a value-driven email is to get your reader to click a link. By providing minimal amounts of information in the email, you can arouse curiosity and get them to click.

In this example, we use the statement “Did you know a person’s height correlates to their ability to successfully close deals?” as bait. We then direct the reader to a blog article if they want to know more, which “does all the talking for us.”
By linking a blog article that focuses on their interests, we get them to take action. How likely are you to click on an email that directs you to a blog article called: “20 Field-Tested Email Templates For B2B Industries and Niches”? If you’re struggling to write emails for the B2B industry, the chances that you will click are very likely.
Blog emails work well on people that like to read. Leverage blog emails to use their hobbies for your own gain.
Email Template #6: Welcome / Opt-in

Following up isn’t just limited to the sales process – it’s also necessary when it comes to sending emails. If your prospect isn’t replying, you can send them a follow-up email to check if they read your first one.
Be brief in the email and explain to them how you can assist them. Like a cold outreach email, make it short and sweet.
Email Template #8: Compliment
I came across one of your articles called [Blank] and absolutely loved it!
As a fellow writer myself, I too agree that [building a successful blog] involves a lot of work – in fact, that’s the reason I wanted to reach out to you.
Are you by any chance looking for someone to help you write articles? If so, I would love to talk more about how I can provide value.
People love recognition. Receiving attention makes us feel important.
Giving your prospect a compliment is one way to get your foot in the door. There are many types of work you can reference – such as a Linkedin post, YouTube video, blog article, or an ad you saw them running.
To use a “compliment” email, pick something from their work that honestly stood out to you and follow with a compliment. This lowers your readers’ guard and makes them more open to hearing what you have to say. From here, follow up with a beneficial statement that would inspire them to reply.
Email Template #9: Person In Common
[Blank] asked me to reach out to you, as he/she mentioned you’re looking to increase your sales revenue?
If you’re interested, would love to set up a time to talk.
Would you rather do business with a friend or a complete stranger? Most people would prefer their friend because it is someone they know. The better you know a person, the more likely you can trust them. And when it comes to business, trust is everything.
If you and your prospect both know someone, you can use that person as a reference to paint yourself in a better light. It means your prospect isn’t receiving a cold email from a stranger: they are receiving an email from a potential friend. As a result, they will be much more open to reply.
Email Template #10: Social Proof

Social proof is a very effective way to get people’s attention. For example, how would you react to an email that says “We’ve done business with Warren Buffet and Bill Gates”? By using social proof as leverage, your reader will assume your accomplishments are just as impressive.

Email Template #12: Humor

It’s because they don’t know how to close.

A good email is one that gets a response. Making your prospect laugh is just one way to get that response.
Laughter is associated with positive emotions. If you can put your reader into a positive emotional state, they will associate you with that positivity. This increases the odds that they will respond to your email.
Email Template #13: CEO
Is there a decision-maker I could speak to within your organization? I’m looking to set up a meeting with them to talk about business.
CEO at [Blank]
Are you a high ranking person in your organization trying to contact a decision-maker with little to no luck? Use the “CEO” email template to put yourself on the same level with your prospect.
People do not do business with others that are lower in status than they are. As a result, contacting a high-level decision-maker such as the CEO can be difficult, unless you put yourself on a higher or equal level.
To do this, write the email in a way that a CEO would. Note your tone, the words you use, and how professional the email sounds. In this example, you will notice that we cut directly to the chase. We let the reader know that we want to speak to a decision-maker because we want to do business. CEOs are busy people and do not have a lot of time to waste – communicate in a similar way to get your emails read.
Email Template #14: Competition
I’m [Blank] from [Blank]. We’re a team of salespeople who have closed over $30 billion across various industries.
I just wanted to reach out and let you know, should you ever need help increasing your sales, feel free to get in touch.
When it comes to “competition” email templates, you want to be subtle about it. You do not want to be direct and say you can do better than the competition. Doing so will make you sound arrogant.
Instead, approach it from the perspective of a back-up. If your prospect ever wants to change suppliers, what can you say to make them think of you first? How can you position yourself as a secondary choice, should their first-ever fail? This way, you are not pressuring your prospect to make a decision. Instead, you are like a friend – should they ever need help, you will be there to lend your assistance.
Email #15: Question
Would you be interested in doubling your sales revenue with no additional work?
This email template focuses on one thing: asking a simple question.
At first glance, this example might seem too simple to work. In practice, it works VERY well. This is because the simplicity of the email gets the reader’s attention. Unlike with other emails they may receive, you are not ranting about who you are, where you are from and what your achievements are. You are just asking a simple question, and expecting a simple reply. All your reader has to do is type yes or no.

Email #16: Problem, Agitate, Solution
A lot of salespeople use pushy tactics to force prospects to make decisions.
As a result, a lot of sales are lost because they rush the sales process.
I have a way to double your sales without any additional work – would you be interested in knowing more?
The “Problem, Agitate, Solution” email template is one of the oldest copywriting formulas known to date. Despite its age, it’s still one of the most effective B2B emails.
This email template uses psychology to influence your reader to take action. It is a 3 step process:
Start off the email by mentioning a problem. For example, you could talk about how most businesses go broke within their first 5 years, or how good help is hard to find.
Once you’ve mentioned a problem, you want to “agitate” that problem. Make the problem worse than it actually is, by mentioning how said problem comes with consequences.
Lastly, let your reader know you have a solution.
In this example, you are making your prospect aware of the fact that bad salespeople are a problem. You are then escalating that problem, by mentioning how bad salespeople lead to lost sales. Finally, you demonstrate that you not only have a solution to their problem, but that you can double their sales revenue.

Email #17: Direct and Honest
I’ll be honest with you, I saw your Facebook ad and thought I’d reach out because I think we both could benefit from working together.

Have something in common with your prospect? Use it to your advantage.
As humans, we naturally have a preference towards others who share the same traits as us. This is known as the in-group bias. People who share something in common – their gender, their race, how they look, the color of their hair, etc. are all traits we can use as leverage.
By letting your prospect know you two have something in common, they will subconsciously like you without even knowing why.
Email #19: Partnership
I noticed we were both in the [Blank] industry and was wondering if we could talk about how we could benefit one another.

Establishing win-win scenarios is the best way to do business. Two parties can come together and form an agreement where everyone wins. Using email templates with the promise of “partnership” will get them to reply, assuming they are interested.
Email #20: Story-Driven Email
Last on this list is a story-driven email template. This type of email is a bit more advanced, thus it will require some creativity from the writer.
I just had the craziest day in my life, with three memorable things I wanted to share with you:
1. A seagull attacked me and stole my raspberry sundae ice cream cone
2. Said seagull dropped said stolen ice cream cone onto a woman’s head
3. The woman then ran straight into traffic and chaos ensued
All of this happened in the span of just 10 seconds.
Which, in my experience, is how much time it takes for a salesperson to mess up a deal.

To do this, think of three words. For example, you could use the words seagull, ice cream, and car. Now, all you have to do is come up with a story using those three words. Once you’ve done that, all that’s left is to link your story to how you can benefit the reader.
